Client Services Associate

We are seeking a full-time Client Services Associate to manage all ongoing client communication and service from our offices in Binyamina, Israel (adjacent to the train station). This role is mainly English-speaking and serves as the primary point of contact for the firm’s international clients.
This position is suited for a candidate who takes ownership of client relationships and is committed to delivering a consistently high standard of service, ensuring that client needs are handled accurately, efficiently, and professionally.
Success in the first 90 days will be measured by the ability to independently manage client communication, maintain prompt response times, execute tasks with a high degree of accuracy, and support a consistently smooth and professional client experience. This includes developing familiarity with client accounts, internal processes, and service providers, and becoming a reliable point of contact for day-to-day client needs.
Responsibilities
- Own day-to-day client communication and service delivery across the firm’s global client base
- Act as the primary point of contact for clients regarding account administration, service requests, and general inquiries
- Ensure clients receive timely, accurate, courteous, and professional responses, maintaining a “client-first” service culture
- Coordinate internally with Portfolio Management, Operations, Compliance, and Sales to resolve client requests efficiently
- Maintain organized records of all client interactions, requests, and resolutions using the firm’s CRM system
- Ensure service KPIs are consistently met with excellence
Client Service & Communication
- Handle inbound and outbound client communication via email, phone, messaging and occasional video conferencing
- Guide clients through various service matters, including account setup (on-boarding), document requests, reporting, and operational workflows
- Proactively follow up with clients on outstanding items, pending documentation, or incomplete processes
- Clearly explain firm processes, timelines, and next steps in a calm and professional manner
- Escalate complex or sensitive matters to senior staff when appropriate, while maintaining client confidence and trust
Compliance Awareness
- Maintain awareness of regulatory boundaries applicable to an ISA- and SEC-registered Investment Adviser
- Ensure all client communications remain factual, accurate, and compliant, and avoiding investment advice
- Follow internal compliance procedures regarding documentation, record-keeping, and client correspondence
- Immediately flag any client complaints, regulatory concerns, or unusual requests to the Compliance team
Other
- Participate in internal training related to firm procedures, systems, and regulatory obligations
- Assist with special projects related to client service improvements and operational efficiency
- Contribute to a collaborative, professional, and service-oriented office environment
- Assist the marketing team in the design, distribution, and analysis of online client surveys and feedback initiatives

Job Requirements
- Bachelor’s degree or relevant professional experience in client services, administration, finance, or a related field
- Mother-tongue-level English proficiency (written and spoken)
- Proficient in Hebrew (spoken and written), sufficient for day-to-day communication with colleagues and Israeli service providers
- Strong service orientation with a genuine desire to help clients and resolve issues efficiently
- Highly organized, detail-oriented, and able to manage multiple tasks simultaneously
- Calm, patient, and professional under pressure
- Strong interpersonal and communication skills
- High ethical standards, responsible, courteous, and responsive
- High level of computer literacy (email, Word, Excel, CRM systems, video conferencing tools, AI tools)
- Experience and/or interest in financial services is a strong advantage
